Who we are

Calibre Coaching provides online transformation coaching. In data protection law we are the "controller" of the personal information described on this page, which means we decide how and why it is used.

What we collect

When you fill in a form on this site, we collect what you type into it. That normally means your name, your email address, your mobile number and your answers to the questions on the form, such as your goals and where you are at right now.

Automatically, when you submit a form, we also record the page you submitted from, the page that sent you to us, any campaign tags in the web address, your IP address and your browser type. We use this to spot spam and to understand which pages actually bring enquiries.

If you email or message us, we keep that correspondence.

We do not collect health or medical records through this website. Please do not put medical detail into a website form. If you become a client, any health information we need is collected separately and handled with your explicit consent.

If you accept analytics cookies, Google Analytics records which pages you visit, roughly where in the world you are and what device you used. It does not tell us who you are.

Why we use it, and our legal basis

To reply to your enquiry and talk to you about coaching. Our legal basis is legitimate interests: you asked us to get in touch, and replying is what you would reasonably expect. Where required we rely on taking steps at your request before entering a contract.

To deliver coaching if you become a client. Our legal basis is performance of a contract.

To keep the website secure and stop spam. Our legal basis is legitimate interests in protecting the site.

To send you marketing emails. Only where you have agreed, or where you are an existing client and the message is about a similar service. You can opt out at any time and every marketing email has an unsubscribe link.

Who we share it with

We do not sell your information, and we never share it for other companies to market to you.

We do share it with the suppliers who help us run the business:

  • Our website host, who stores the site and its database on servers in the United Kingdom.
  • Our customer relationship system, where enquiries are stored so a coach can follow them up.
  • GoHighLevel, the marketing and CRM platform we use to manage enquiries and send email. GoHighLevel is based in the United States.
  • Google Analytics, so we can see which pages are useful. This only runs if you accept cookies, and we have turned off its advertising features.
  • Our email provider, so the enquiry reaches our inbox.
  • Booking providers such as Calendly or GoHighLevel, if you book a call using a calendar embedded on this site. Booking is handled on their systems and their own privacy policy applies to it.

We may also disclose information if the law requires it.

Sending information outside the UK

Some of our suppliers, including GoHighLevel, are based in the United States. Where your information is transferred outside the UK we rely on the safeguards allowed by UK data protection law, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or an adequacy decision where one applies.

This website also loads its typefaces from Google Fonts. That means Google receives your IP address when a page loads, so it can serve the font. Google does not set a cookie for this.

How long we keep it

We keep enquiries for [TO CONFIRM: retention period, commonly 24 months] from your last contact with us, so we can pick the conversation back up if you come back to us. After that we delete them or strip out anything that identifies you.

Client records are kept for as long as you are a client and then for six years, because tax and accounting rules require it.

Website security logs, such as failed login attempts, are kept for seven days.

Your rights

Under UK data protection law you can ask us to:

  • Give you a copy of the information we hold about you.
  • Correct anything that is wrong.
  • Delete your information, where there is no good reason for us to keep it.
  • Stop or limit how we use it.
  • Send your information to another provider.
  • Stop using it for direct marketing. We will always action this one.

Where we rely on legitimate interests, you can object and we will stop unless we have a compelling reason not to.

If you are not happy with how we have handled your information, please tell us first so we can put it right.

Changes to this policy

If we change how we handle your information we will update this page and change the date at the top. If the change is significant we will tell you directly.
